Privacy notice
Sentient AI Systems Inc ("Sentient", "we", "us") builds software and supplies business information that helps organisations find and contact other organisations. Some of that information is about people in their working lives: company directors, partners, regulated professionals and the staff of businesses and public bodies. This notice explains what we hold about you, where it comes from, what we do with it, and how to have it corrected, deleted or kept out of marketing.
It applies to people in the United Kingdom whose business details we hold. It does not cover enquiries made through our website's contact form, which we use only to reply.
1. Who we are
Sentient AI Systems Inc is a corporation registered in the Philippines with SEC registration number 2026010232527-02 and its registered office at 2nd Floor, C L Punsalan Building, St Jude Village, Alfonso, Concepcion, Tarlac 2316, Philippines. Sentient is the controller of the information described here.
Privacy contact: privacy@sentient-ai-systems.com, about anything in this notice.
2. Whose information we hold
- Directors, secretaries, members and partners of UK companies, LLPs and partnerships, and people with significant control of them.
- People approved, certified or registered by a regulator, such as staff of firms on the Financial Conduct Authority register.
- Staff of businesses, charities and public bodies whose work details are published.
- Sole traders, where a public register lists them. We hold their register entries but do not email them for marketing.
We do not hold information about you as a private consumer, and we do not look for information about race or ethnic origin, political opinions, religious beliefs, trade union membership, health, sex life, sexual orientation, or genetic or biometric data.
3. What we hold
- Name and work role: job title, the organisation you work for or direct, and your appointments and their dates.
- Work contact details: business postal address, work email address, work phone numbers, and the organisation's website and social media pages.
- Register details as published: from Companies House, month and year of birth, nationality, country of residence, correspondence address and the nature of any control of a company; from regulators, the roles and qualifications they record.
- Professional profile: career history and other details you have published on professional networking sites.
- Information about the organisation: what it does, its size, its regulators and its public filings.
- Our own records: when and how we contacted you, and whether you asked us to stop.
Some sources include personal email addresses or mobile numbers. We keep these marked as personal, never use them for marketing, and never include them in the data we supply to clients.
4. Where it comes from
We did not collect this information from you. It comes from:
- Public registers:
- Companies House: https://find-and-update.company-information.service.gov.uk/
- The Financial Conduct Authority register: https://register.fca.org.uk/
- The Charity Commission: https://register-of-charities.charitycommission.gov.uk/
- The Scottish and Northern Ireland charity regulators.
- Other regulators, such as the Care Quality Commission, the Information Commissioner's Office, the Solicitors Regulation Authority and the Gambling Commission.
- Official publications: The Gazette (https://www.thegazette.co.uk/) and UK public procurement notices, such as Contracts Finder and Find a Tender.
- Organisations' own websites. Our crawler, SentientBot, reads up to five public pages of a business website, such as its contact and about pages. It obeys robots.txt, and a website owner can stop it at https://uk.sentientaisystemsinc.com/bot.
- Professional networking sites: profiles and company pages that people and organisations have made public.
- Commercial business-data suppliers: information they are entitled to supply for business marketing.
5. What we use it for
- Supplying business information to our clients, so they can find and contact organisations for business-to-business marketing and sales. It also helps them check who they are dealing with, meet compliance obligations, and understand industries and markets.
- Marketing our own services to organisations by email, phone and post.
- Keeping our data accurate: matching records from different sources to the same organisation or person, removing out-of-date details, and keeping a list of people who have asked not to be contacted.
We combine records automatically to build a single business profile, for example linking a LinkedIn page to the matching Companies House record. We make no decision about you that has legal or similarly significant effects without a person involved.
6. Our legal basis
We rely on legitimate interests (UK GDPR Article 6(1)(f)). Our interests are supplying business information and marketing our own and our clients' services to organisations. Your interests are protected because:
- we hold only work-related information, most of it already published;
- we do not market to people in their private lives;
- you can object at any time, and we stop.
Our assessment of these interests is available on request.
Email and phone marketing also follows the Privacy and Electronic Communications Regulations (PECR):
- Email to an organisation: we email people at their work address only where the organisation is a company, an LLP, a Scottish partnership or a public body (a "corporate subscriber" under PECR). Every message says who we are and how to opt out.
- Sole traders and other partnerships: we do not email them without consent.
- Phone: numbers must be screened against the Telephone Preference Service and the Corporate Telephone Preference Service before anyone makes a marketing call. The numbers we supply are marked as not yet screened, so our clients screen them before calling.
When we first contact you, our message says where we got your details and links to this notice.
7. Who we share it with
- Clients: businesses that buy or use our data. Our contracts let them use it only for lawful business-to-business purposes, require them to honour opt-outs, and require them to screen phone numbers before calling.
- Service providers that work for us under contract: hosting, email sending, email address verification, and our sister company People Offshore Inc (Philippines), whose staff work on our data under our instructions.
- Authorities: courts, regulators and law enforcement, where the law requires.
- A buyer of our business, if all or part of it is sold.
We never supply personal email addresses or mobile numbers.
8. Where it is kept
Our data is stored on servers in the UK and Germany. Germany, as part of the European Union, is covered by a UK adequacy decision. We are based in the Philippines, and our staff there work on the data; the Philippines is not covered by a UK adequacy decision. Our clients are mainly in the UK. We protect the information with:
- access controls and encrypted connections;
- the Philippine Data Privacy Act 2012, which applies to us;
- contracts with our service providers, using the UK International Data Transfer Agreement or Addendum where it applies.
9. How long we keep it
We keep business details while the organisation and your role in it are current and the details are in use. We review the data at least once a year. When we learn that you have left a role, we remove that role's contact details within 12 months.
If you ask us not to contact you, we keep only your name and the contact details you gave, on a suppression list. That is the only way to make sure you are not contacted again.
10. Your rights
You can ask us to:
- confirm whether we hold information about you, and give you a copy;
- correct anything inaccurate;
- delete it, or restrict how we use it;
- stop using it for marketing. This is absolute: we always stop.
You can also object to any other use. We will stop unless we have a compelling reason that outweighs your interests, and we will tell you what that is.
To use any of these rights, email privacy@sentient-ai-systems.com or reply to any message we have sent you. We may ask you to confirm who you are first. We reply within one month, and there is no charge.
Opting out: reply to any message from us, by email, phone or post, saying you do not want to hear from us. That stops our contact with you on every channel. Your details are also left out of the data we supply to clients from then on.
11. Complaints
Please tell us first, so we can put it right. You can also complain to:
- the Information Commissioner's Office in the UK: https://ico.org.uk/make-a-complaint/ (0303 123 1113);
- the National Privacy Commission in the Philippines: https://privacy.gov.ph/
12. Our website
Our website uses Google Analytics, which sets cookies, to count visits and see which pages are read. It does not tell us who you are. If you send us an enquiry through the contact form, we use your details only to reply. You can block cookies in your browser's settings.
